When should I send out my wedding invitations?

The most frequently asked question I hear is "When should I send out my invitations?" It used to be that invitations were mailed out six weeks prior to the wedding and RSVPs were expected back two weeks before the date of the wedding. Not anymore...I am finding that more and more of my brides want to mail out their invitations at least eight (and sometimes even twelve) weeks in advance.

I attribute this change to a few factors. First, just about every wedding party has people who will be attending from out of town. It is a courtesy to give them adequate time to make travel arrangements without having to spend a fortune at the last minute. I have also seen an increase in the use of save the dates as a means of communicating to out of town guests. The second reason for sending out invitations earlier is the need for an accurate head count for food, flowers, place cards, etc. Your vendors will require solid numbers as soon as you can obtain them -- when it comes to having an accurate count, the earlier the better. And finally, the good ol' United States Postal Service. Compared to the weddings of even ten years ago, there are more guests, from more cities and often times more countries. You need to know that your invitation won't be arriving two days before your RSVP is due back.

New and exciting...

The Sand Plum is an awesome place to have a wedding and reception. A very classic ballroom adds excitement to any wedding. This is a 4 story building with the magnificent grand ballroom full of history. A beautiful mural is an eye catcher. It adds a story and conversation piece. (ask about the history)

The 3rd floor of the facility is being remolded into 12 hotel rooms and 1 honeymoon suite. All the rooms are designed after some history in Guthire.

The Lobby level is being transformed into a coffee house. There will be a spacious coffee bar with setting for guest.

The lowest level is still being decided. We are waying the option on a winery or restaurant. Either way this will be a great space for a rehearsal dinner.

Wedding music consultations

ATriem Ensemble met with four couples today for wedding music consultations. It was a fun afternoon and we tried to keep cool as the temperatures rose outside. Each couple was very different but we managed to help each choose personalized music.

The trio helped plan a non-traditional Jewish wedding, a formal traditional ceremony/cocktail hour and two outdoor garden ceremonies. We finalized music for a ceremony and reception where the bride and groom knew exactly what they wanted for each part of the ceremony, and helped a couple that had no idea of what they wanted musically.

Some brides are apprehensive about consultations because they feel like they don't have any knowledge of music, or their ceremony isn't finalized. Our goal is to sit down with you wherever you are in the planning process, help you wherever you need it (we've been to plenty of weddings!), and play as many pieces of music as needed for you to choose the ones you want.

Dianna Shitanishi featured in People Who Make Hawaii Work

Dianna Shitanishi has opened Hawaii Weddings and Events, a new event-planning company.

She is the former director of catering and conference services at the Kahala Mandarin Oriental Hawaii.

Shitanishi, 42, has coordinated more than 800 weddings and special events during her 20 years in the hospitality industry. She has planned President George W. Bush's Honolulu layover visit, a press conference for golfer Michelle Wie and a number of other events for Hawaii's business executives.

She also has worked in numerous positions at Waikiki hotels and airport hotel properties.

Why I started the business: I've always dreamed of having my own business and I love event planning. It allows me more flexibility with my schedule to spend time with my children.

Immediate priority: Developing my business and creating new theme events.

Essential business philosophy: Everything is about quality and servicing the guest and making sure they get the experience that they anticipate -- putting customers at ease through the event-planning process.

Best way to keep the competitive edge: Continually learning. I go to educational conferences every year to keep up with current trends.

Best business decision: Starting my own business. It allows more creativity. I have the opportunity to not only work at one property, now I get to work with different people in the industry.

Worst business decision: It's not having my own office, because there are some clients who expect to meet at an office.

Longer-term challenge: We're looking at expanding to the Neighbor Islands, so developing that market will be a challenge because I'm physically not there and also because of the tight labor market.

Biggest problem in the industry: Not everybody is reputable. Just making sure that you're getting value for the price that's paid and ensuring you have quality goods.

Strategy to overcome industry problem: Educating your clients as to what things to look for. As far as my business, I'm a firm believer in not putting all your eggs in one basket. So it's working with a number of individuals and companies and diversifying.

Goal yet to be achieved: Continuing my public relations efforts. That's something I'm slowly working on.

Favorite way to spend free time: Watching my kids play sports.

Stress reducer: Walking and spending time with friends.

Word that best describes me: Detailed.

Long time...more album options!

We've had an eventful spring and I for one am ready for an exciting summer season!

The new Flush Albums are so beautiful and fun to create. Many more options are being offered by more companies, it's hard to know which company is delivering reliable quality in a timely manner. Any suggestions?

I've seen brushed aluminum covers that are sophisticated and nearly bullet proof...pricey though. How important is the cover? Still want leather? I've not had an order for leather since last year.

Ya'll like the "tall" albums? Fouteen inches tall...different format? Share your thought...PLEASE?

Vendor suggestions......

Aloha!

Based on some comments from some of my brides during interviews and finalization meetings, I thought I would share some comments and/or suggestions for vendors to consider.

1) No matter how small a business may be, you should always present yourself in a professional manner. A bride of mine actually showed me a handwritten note torn out of a spiral notebook that was sent to her along with a "blank" contract that had no fees written in. Needless to say, the person that sent it will not get the job no matter how good their services may be.

2) Response time or no response at all! Quite a few brides have expressed their frustration with the lack of response from vendors, unfortunately, I have also encountered the same experience at times. They understand that they are busy, but would at least appreciate a little note, got your e-mail, will get back to you by __________ date. I make it a point to communicate with my clients when I will be out on appointments all day, or perhaps on a trip. At least that way, they understand there may be a delay in responding and they appreciate that I let them know, or at least give them an estimated time for an answer.

3) Matching your client to vendors. Everyone has a different budget, style and personality. As a wedding professional it is important to try and match your client with those professionals that will best suit THEIR needs.

4) LISTEN.......let the bride and groom talk so they can convey their ideas before offering your suggestions. How can you service them if you haven't found out about what they like and don't like?

Obviously some products and services are more easily and accurately represented online than others. But think twice before actually purchasing. While online shopping is convenient, it's not personal. And your wedding is a very personal event in your life. Take the time to actually talk to people who work in the wedding industry - if only to get information - before you place any online orders. You can avoid disappintment, added expense and added stress by taking the time to talk to local professionals first.

A Map to Perfect Love?

I came across the above article from Dr. L. Berman's "Passion Files". I thought you would be interested in it, especially those who are discovering a new relationship.

Mini-Maid Meltdown; Happiness tips for Flower Girls

Just a "happiness" tip, based on an experience this weekend...
If you choose a 3-year-old flower girl and she has meltdown at the top of the aisle, don't force her to walk it. You'll feel terrible, and so will she.
The way a Wedding Consultant works, is she helps mangage all the little details, including relations with vendors and other help. But, there is only so much a Consultant can do to when a determined mom and a cute, but cranky, toddler are involved in the scenario. So again, I say, if your Flower Girl if feeling traumatized, don't insist (in all fairness, it was mama, not the Bride) that she make the long trek in sobs and tears. It's just too sad. Do remember that you, the Bride walk down right behind this miserable child. Where would you like your Groom's focus to be?
So, what to do? My 1st suggestion is to curb the possibility of crying to begin with, by getting an age appropriate gift for this littlest attendant. A white teddybear with a big ribbon, that she could carry down the aisle with her, has worked beautifully for me in the past. Or, as we ended up doing in this case, you might have to have the Consutant/Hostess request that mama carry the child down the aisle (a mama of a 3-year-old aught to be asked in advance to choose attire that would allow her to do this in style). Lastly, if none of the above have hope of working, let it go. Have the sad sweety calmly removed to the side with a tissue, cookie and glass of water. Don't focus on toddler tears just as you're going to take that momentous journey down the aisle. Now, take a deep breath and smile!

Pretty Color Combinations for Wedding Flowers

Have you been trying to figure out what's a good combinations of flowers for your colors? Here's the artical for you.

The most popular colored bridesmaid dress for summer is sage/mint/kiwi. The best color combination would be light green cymbidium orchids, pale pink roses, bright pink roses, green hypericum or hydrangea, pink stock or other filler flower and your bouquet would look fabulous! If you would like to add some sparkle then visit bouquetjewels.com for some ideas. Another flower combination that brides are currently using are colors along the light green, coral, peach, and red theme. Flowers would be coral roses, peach roses, small red roses, red hypericum, greenᅠhypericum, light green cymbidium orchids, yellow button mums, and other quality fillers.

For red bridesmaid dresses: The second most used color. There are a variety of options. Most recent brides have opted for a bouquet of all red roses. To be a little creative, ask your florist to use different types of red roses. An all rose bouquet shows classic elegance. Perhaps ask your florist to pin in your initials on the handle of your bouquet to add an extra special touch. If you are planning on red roses, then you have picked the least expensive rose color (Except for holidays such as Valentines Day). Shop around for the best price without losing quality for a florist. Other choices for red bridesmaid dresses: pink and red; orange, yellow, and red; coral, red, and white; peach, white, light green, and red; purple and red; purple, plum, and red; burgundy, plum, purple, and red; lavender and red; jewel tones such as orange, purple, red, and green.

For navy blue bridesmaid dresses: the third most popular color for bridesmaids. Most brides are choosing to use multi-colored bouquets instead of going with blue flowers to save on costs and to add more color. The best combination in my opinion would be purple, pink, and mint green with a little orange or coral color. Bright, bold colors show up very good for photos. If you do want to stick with blue then there are 2 main blue flowers: hydrangea and delphinium. Blue roses are dyed, and cost a lot. A nice contrasting bouquet would be orange, peach, white, and blue colors. Some brides are chosing light hydrangea with cream roses for their bridesmaids bouquets.

For purple colored bridesmaid dresses: The fourth most popular choice for bridesmaid dresses. There are so many combinations for purple, that I think I will just focus on the best combinations for photos. Light plum/lavender, deep purples, and reds are very nice colors to have together. Or red, orange, purple, and a splash of light green are very nice together. When you use a larger color pallete then your florist can suggest some creative (multi-colored) flowers to blend in the colors nicely together. It's always nice to have something new/different for the bouquets. Because, a wedding should happen only once in a lifetime.ᅠᅠWeddings are very special.

For pool/teal colored bridesmaid dresses: Try going for all cream colors with greens. If you want to add some teal colored flowers then the main flower is teal hydrangea (and they're dyed, which adds a lot to the price). Or use pretty pink and white flowers with a touch of light green. You can opt for the light blue hydrangeas as well, but the shade of blue is not that close to pool/teal, but the bouquets would look pretty.

For pretty pink colored bridesmaid dresses: There are so many color combinations like: pink, hot pink, white; pink, hot pink, light green; pink purple, and lavender; pink, light pink, dark pink; yellow, pink, and white. The list goes on and on. The prettiest combination, in my opinion, would be the pink, hot pink, light pink, and light green combination by using light green cymbidium orchids, pink dendrobium orchids, light pink roses, hot pink roses, pink stock, green button mums, and green hypericum (or not).

Planning your wedding stationery....and time...

Taking the time to map out a plan for your wedding stationery will also help you plan your budget for these items. Recently, we have met with several bride who have not bought their wedding invitations, and have set no budget for these items. Our posts include information herein for an average wedding including about 150 to 175 wedding invitations, printed outer flaps, a modest inner envelope liner, thank you/informal notes, reception cards, response cards and envelopes and possibly a wedding map for the church and reception events. By beginning to look at invitations early, and planning with someone you trust, putting down a deposit and making a commitment to work with a professional, you will be well on your way to receiving the support and help you need for your wedding stationery, and have it planned and completed according to your needs while you discern your preferences without the pressure of "rushing" this process. My new favorite resort....in the US!

Wedding Programs are Momentos

Your wedding program will achieve several goals: (1) provide the order of the service including any rituals germaine to your faith,your culture or your personally written vows (2) list your bridal party so that guests will know the brides maids and groomsmen and maid of honor and best man and their relationship to you, (3) possibly give honor to any deceased close relatives with you in spirit only (4) list your new home address (5) thank your guests for coming (6) With properly chosen fine colored cardstock if you please, the entire church can be lighted up with the colors in your wedding as an extra added touch to your day for a small cost....bind them with coordinating ribbons, and send them off to friends who could not travel as a memento with your thank you note, and you have helped to maintain a friendship for life.

These little printed pieces of "artwork" in print are an opportunity to help guests know more about your personal culture, beliefs, and the marital service they are sharing with you as witnesses to your blessed event.

We provide you with the usual formatting as a guideline to work from or incorporate into what your officiant prefers to work out with you.

Take plenty of time to begin the process. Meet with your officiant early as it takes at least 4 weeks to get these printed and in your hands before they are printed.

You do not have to know every piece of information to make your program selection and put down a deposit and begin the formatting assistance with us to keep this from becoming a last minute task.

Don't be afraid to get it wrong. By beginning early, you have plenty of time to begin this process with our guidance and support and assistance.

We suggest that the program wording begin with the order of the service, followed by the wedding party.

Most wedding programs require one large sheet and a cover, or one smaller cover, and 2 insert sheets or 4 pages.

One of the things we have seen brides cut costs is in providing their own printed maps or direction cards on printed sheets of paper or cardstock that go into wedding invitations.

A friend of ours received engraved invitations to a friend's wedding, and the directions were printed on a copier or a laser printed, and guess what?

The powder smeared all over the invitation pieces ruining their presentation.

Another invitation came in the mail to another friend, and out popped little tiny strips of paper with the directions on them cut on a home cutter that need a blade sharpened. They literally fell out of the envelope. While the pieces of paper were smaller, they were also printed with powder not ink, and there was some spoilage on the cards.

This is another situation where a little more money spent for direction cards, about $150 for the direction cards for about 125 to 150 invitations would have saved the more than $1500 to $2200 spent on the engraved invitations.

When placing your order, your stationery printer and designer will suggest stock that is commensurate with your invitation. While the printed direction card can be lithography or offset printed, not engraved or thermography, it is essential that this piece be printed on stock that mirrors the invitation card(s).

Direction cards do take less time for us to prepare and print. Map cards require additional graphics skill and time to prepare.

Give your printer/stationer time to prepare and print a wonderful map and direction/accommodation card for your invitations.

Your Wedding: Small or Large?

Oftentimes brides are faced with a difficult decision on the size of the wedding. You may want something small and intimate with just close family and friends, or you may want the grand blow-out with all the extended relations. The decision you make will affect your budget and how much money gets spent in each department. With a smaller wedding, say less than 100 people, brides can spend more of their time and money on the more intricate details. Larger weddings become more about a bride's ability to coordinate the various aspects and keep everything moving on schedule. The budget may be stretched thinner to incorporate additional elements. Whether small or large, keep in mind what is most important to you and focus your money and attention in that area. Anything you can do to make this process easier and less overwhelming will save you many headaches!

I spoke to my niece over the weekend. She told me she had recently received two Save the Date magnets and wedding invitations from friends who are getting married later this year.
She was surprised that both of the brides had elected to send Save the Date magnets and that both had selected similar somewhat nontraditional wedding invitations for their ceremonies - because the two had little else in common.

Never skip the Practice Run!!

So often when I meet with a bride they never realized how important it is to pre-select her make-up for the wedding and think that it is not important.

On the contrary - it is as important as your dress!!
I have seen many pictures over the last few years of brides who have an awesome dress, and who are absolutely beautiful women, but in the photos their face almost dissapears!! Don't underestimate the need to accentuate your features...especially for evening weddings when the photographer will be using a flash.

And ALWAYS preview your look ahead of time. The colors you see in a compact may not appear the same on your skin. The look you pick may be too dramatic for a wedding if you choose colors that are too dark and don't practice with them ahead of time.

You picked out makeup for prom...you pick it out for other major events. How much more important is your wedding day??

As soon as you pick your dress, you should pick out your look. Thumb through your bridal magazines and look at the make-up on the models in the wedding gowns. Find colors similar and work with them to create the perfect look that's right for you.

The reason you want a "day of" coordinator......

I just received this e-mail from a July 2006 groom, it really summed up one of the many reasons for hiring a "day of" wedding coordinator.

"I am a very organized person and we wanted to have the ability to plan our own wedding, so we did not hire a wedding coordinator to do any pre-wedding planning for us.

However, it occurred to me that even though I'm very organized, I'll probably be too busy on wedding day itself to be trying to manage the many little details and issues that are likely to come up, given that we'll be running around with our photographer taking pictures, etc. As a result, we thought it might make sense to hire a professional coordinator, not to do all of the pre-wedding planning and vendor finding (which is all done), but rather simply to attend our rehearsal and our finalization meeting with the catering manager and to oversee things and be the focal point for our vendors on the wedding day itself."

Wedding Programs, Table/Menu/Seating Cards

There is a very old song entitled, "little things mean a lot". It is a very romantic old song that my parents used to dance to. And, so it is with your wedding order of service programs, table name or number cards, menus if you prefer, and the seating cards.

We encourage brides to make a selection that matches the main colors of the wedding. With larger pieces of cardstock in bright colors or beautiful stock with sheen, you may have table numbers with lovely numbers on them or have us print them with information about special events or places you have visited.

Wedding programs/orders of service are a wonderful way for each guest to learn the bridal party names, and follow the service. You can even include your new home address so that friends and guests can easily stay in touch with you after your wedding day. We suggest a note of thanks at the end, and your name and address and phone number.

What is a Custom Recording

Lately, I have received a few calls and emails regarding my company's "custom recordings". I would like to answer this question via my blog since more people read my blog than my emails.

Imagine if you will, you and your fiance are celebrating your first dance as husband and wife. As you dance, your guests are delighted to hear your wedding vows interlaced throughout your first dance song. What a special way to share your vows with your guests!

Tips for planning your destination wedding!

So you've finally decided to plan your destination wedding, so what now?

Having planned weddings from all over the world since 1997, I am pleased to provide you with a few tips:

1) If you hire a photographer that is not from the location where you are having your wedding be sure to have them do a walk through of the grounds to ensure they are familiar with all of the picture opportunities available.

2) Don't worry about having to plan your wedding via e-mail, voicemail and/or fax. Even with local weddings, 90% of the planning process is done via technology due to time limitations, ease of use and the fact that everything is in writing so you have everything documented.

3) Always request at least two proposals on items which are more personal (ie: flowers, pictures, videography, etc.) as these items in particular represent the style that you are looking for.

4) Ensure that you arrive at your destination in time to secure your wedding license (in Hawaii you can obtain your license up to 30 days prior to the wedding) and to give yourself some time to get acclimated to both the time zone and climate of your destination.

5) Schedule an appointment with your wedding planner for one "final review" of all details upon arrival at your destination. Everything will be set at this point in time, but it will do your heart good to walk through it again and put your mind at ease, and for some, it allows you to meet your coordinator "face to face" for the first time.

6) Enjoy this special time, it should be a fun and exciting time in your life, not a stressful one!

Time for a change...

This is going to be a fairly short blog. I just have to get this out of my head for today because when I sleep I think about everything that could happen...

What more can a photographer give to you than just a picture? Is there something more to a wedding than that? Why do so many people bring throw away cameras to a wedding? Why do the kids run around during the most important shots of the wedding? How many pictures can one really take? Why didn't that shot get taken the way I envisioned but the couple thought it was outstanding? Why can't anything be on time? How many days should I think about whats the best decision? Why cant the flower girls stay in a straight line? Why cant the groom stop fainting? Why is the brides make-up running? Who is that DJ? HE SUCKS! Why are birds pooping on everyone? How many brides maids ARE THERE??? Are those giant pimples on the Brides face? What is that in the grooms nose? DID GRAMPA REALLY JUST SAY THAT?

And then I woke up and realized something. Things happen, and I say to myself, other photographers, and everyone else involved...What are you going to do to make it better? Can you really change things? Can you understand life sstops for no one? Well it doesnt have to appear that way on a picture or video. It can be fixed. If there's a will theres a way. Hey My mother just explained to me the importance of change, responsibility as a photographer and the liklihood of something going bad. Imagine getting married for the 1ST Time and you paid $1100.00 for a photographer and he takes the most beautiful pictures you have ever seen. You know he has what it takes. Then he makes it back to his office, ready to process that good ole fashioned film, and damn, it was none there the whole time... GO Digital people! There are so many young photographers out there that are so technically savy, buying those top of the line digital cameras to please your eye and you pass them buy... Not cool at all. But hey mistakes can happen most definately, but last I heard many many new photographers have built in memory cards, no need to forget em. Just snap, and go, and pics are on their way waiting for you. Take the time out to catch up with the Jones' you might be surprised at how well a young photographer can capture the best photographs you have ever seen. And some you may never see.

Man its hard releasing my feelings out there in the world. But I do what I have to do...Photographer... No Name Needed...

To cut your expenses:

You can find out if there is another wedding ceremony before or after yours and you may contact another bride to see if she wants to participate in decorating the site.

Use help of your family members to help decorating.

Buy flowers from wholesaler, especially if the flowers are in season. Often out-of-season flowers are harder to find and are more expensive.

Use pew bows for both ceremony and reception decorations.

Decorate every other or 3rd pew or aisle chair, or alternate between bows and swag of ribbon.

Reserve first few rows for immediate family by placing bows only on those pews.

Get big bows for altar decorations, it's much cheaper than flower arrangements.

Put your reception table centerpieces on columns at the church and move them to the reception.

The altar arrangements can be placed on the head table at the reception.

Alternate big and small bows at the pews.

Do not use aisle runner, just have your flower girl sprinkle the petals as she walks down the aisle.

Use less fresh flowers. Mix in silk flowers here and there.

Places to have weddings from 50 to 150.

Well, we have started the season out with our first April 1 wedding and now there are many more. Getting back into the swing of the spring and summer, we find ourselves with all of the details being thought through, How are you doing with this end of planning stage. Are you changing your plan or looking for another venue that will fit your initmate private wedding?

Saturday, Sept. 16 has opened up for th Plantation. We have the tables, chairs and the ability to do your wedding without a lot of stress. Life has enough of that day by day. Come visit us and know that my aim is to free you up and give your quest plenty of place to stroll and a great place for the carriage to take you and your guests for a great ride.
