The Royal Hawaiian Hotel

For those of you that may not have heard, the Royal Hawaiian Hotel announced today that it would be closing for renovations June 1, 2008.

The "Pink Palace of the Pacific" has always held a special place in my heart. I was fortunate to work at the hotel from 1992 to 1996 prior to going to the Kahala Mandarin Oriental, Hawaii (now The Kahala Hotel and Resort).

The reason I actually left the Royal Hawaiian Hotel was simply because I had found my passion for Catering and I didn't foresee the Director of Catering or Catering Manager leaving anytime soon. Fortunately my gamble paid off as I started in Food and Beverage at the Kahala and then moved to Catering Manager, Director of Weddings and Director of Catering and Conference Services and now the proud owner of Hawaii Weddings and Events.

After being away from the beautiful historic property for over 10 years I now returned on-site as the coordinator for two beautiful weddings September 15 and 16, 2007, of which both had receptions in the Monarch Room

Considering I would have waited 9 years for an opening at the Royal, it was fun to be on-site and work side by side along the banquet manager, banquet staff and catering team that I used to work with. When I pass by the front desk I remember the short period of time that I actually worked as a Night Auditor on the graveyard shift.

5 Tips to Planning a Small, Intimate Wedding Ceremony

Couples decide to have small weddings for a variety of reasons that may include: a heartfelt desire for small and intimate, a need to marry quickly, or perhaps because of financial reasons. But, outside the exceptions of driving to the courthouse or going to Las Vegas, small wedding ceremonies will still require planning.

I have been to two small wedding ceremonies recently. One was a beautiful garden wedding in the backyard of my friend Carolyn's home. Their vows were taken under a hand-crafted pergola, draped with flowers on every side with approximately 20 in attendance. And most recently, I had the honor of being an MOH for my friend Cheryl in a beach ceremony in which there was only 7 of us. Mother Nature lavished us with a warm morning sun; it was an extraordinary celebration, seemingly effortless to pull off.

Naturally, you might be tempted to think that small weddings would be the simplest way to get married~ certainly with so few in attendance. But, in the above cases, there was much planning and organization that went into these small and intimate ceremonies. The 'to do' list was just as long, only the numbers were smaller. For instance, Cheryl and Lon still had to coordinate the date, location, attire, attendants, minister, photographer, flowers, unity sand ceremony, cake, miscellaneous supplies, transportation and much more!

Of course, everything depends on the preferences of the bride and groom regarding the extent tradition will play in the ceremony~ as well as any extras. You can certainly have the wedding of your dreams no matter how many are in attendance.

Allowing your small wedding the same planning considerations as for a large wedding will empower and encourage you. The following are some lessons that Cheryl and Lon learned while preparing for their small wedding ceremony.

5 tips to assist you in planning your small and intimate wedding:

1. Announce carefully: some will understand your desire for a small wedding while others may have hurt feelings. State your intentions up-front and confidently; at the same time, be sensitive to those who aren't invited.

2. Start early: even though you might have a small guest list and opt out of certain traditions, deciding what you want and why takes time. Allow as much time as is practical for you.

3. Get help: enlist the help of those involved to help you carry out the details. They will be honored to be included and you will need their help!

4. Communicate clearly: tactfully and clearly assign tasks to those involved so that no one is wondering what you are expecting.

5. Relax and focus: don't get so wrapped up in all the details and work and forget that love, celebration, happiness and the blessings are what it's all about.

Custom invitation pricing?

Frequently, a bride asks us: How much for pocketfolds? And, letterpress printing. This can vary depending on the card stock, the kind of paper we use, the number of layers of paper we use, the size and style of the pocketfold, and even the type of printing.

This is WHY when we must make a price dependent on the number of insert cards required, and the qty purchased.

On an order for 100, we price them for a bride on a per item basis.

Pocketfolds have increased the cost of invitations because there is more paper involved, and much, much assembly, or labor.

This is why without a plan on what you actually need, price can be all over the road.

Hope this helps to clarify why it is not easy for us to price right on the money for you.

What you are receiving is a "unique" invitation, and it must be individually priced.

One of The Best Photo Shoots Ever!

When Amber and Jeff got married on August 4, it was a fun day. But Jeff had wanted so much to do one thing: ride her away on his motorcycle. Things didn't work out that way.


Last weekend, we did a follow up shoot to give him his motorcycle shots, and then we went to the beach. What followed was just some fantastic photos and we had just the best time! The weather was wonderful, and it was fun to have them wrap up in a big swath of tulle and just play in the sand.

The people on the beach were watching with polite amusement, but then they all let out a horrified gasp as Amber marched right into the water! We had been talking about doing some shots of her in the water in her dress and had even researched how to get her dress clean again.

Amber braved that cold water and we got some fantastic shots. She got wet, I got wet, and we had a blast.

I stayed up late going through the photos and enhancing some in photoshop. I had some on the website in a few hours and the results were so wonderful.

Amber and Jeff are Overjoyed! He got his motorcycle shots, she got to be a supermodel, and I got to take some wonderful art shots with a Bride and Groom that were just so much fun to work with! The Knot Magazine names Entertainment Northwest "Best Of The Best"

Therefore, finding the perfect photographer is one of the most crucial aspects to your event planning adventure. Read below to find helpful Tips and Hints for your special search.

Photography Type:

Black & White - classic and simple. But don't be fooled! Black and White photography can be adventurous indeed. Ask your photographer if one of their styles is black and white.

Photojournalism- or candid photography can be a delightful addition to your album. for the funny dance moves by your brother or the screaming antics of your neighbor's kid. These photographers specialize in capturing the unexpected.

Traditional - or posed photography, is perfect for events held in churches, synagogues, museums, and on landscape location. Traditional photography is usually chosen for family portraiture as well.

Mix of Styles - This selection will allow you to view photographers who offer a variety of styles.

Budget: How much to expect:

Wedding planners agree that the expense for a wedding photographer will usually come to about fifteen percent of your total event budget. This metric is usually true for Bar and Bat Mitzvahs as well. Packages typically range from $1,000 (very basic packages) to as high as $7,000 to $10,000 depending on the photographer, the event, the amount of hours spent shooting and developing your pictures and how many shots are taken and ordered. Some photographers may include the cost of an assistant in the budget as well. DO tell your photographer what you like. Just like when you get your hair done, bring in photos that catch your eye (your best friend's wedding photos, a cool shot of a landscape, a family portrait), and ask the photographer if he/she can emulate the same style or feeing for your special day.

DO find a photographer that "clicks" with your personality, and is easy to talk to.
DON'T forget to review and sign a professional contract with your photographer -- before the special date.

DON'T hesitate to contact your photographer to ask him/her questions about the newest trends in photography.

Does Cobalt Change a Rings Appearance?

How do you find your Hawaii wedding planner?

Aloha and congratulations to all, this is such an exciting time in your life!

How does one find a wedding planner? The majority of our clients either find us through our website, are referrals from past or current clients, other vendors that we continually work with and venues that we have done events with. Word of mouth recommendations are the best forms of advertising as we all know someone does not give out your name if they had a bad experience.

Now that you've narrowed down your searches, how do you determine who is right for you?

These are some of the key questions to either ask your potential planner or to ask yourself while interviewing:

1) Is the date available (I've seen clients arrange meetings with hotels for a site inspection only to find out the date they want was not available).

2) What is your experience level (have they been doing this for years, or did they do a friend's wedding and decided to get into planning?)

3) As a certified professional special event planner, I always ask clients what their expectations are in a coordinator (or planner). I've found that everyone has different expectations and/or interpretations, so it is always best to start off with everyone on the same page.

4) I also ask what type of budget they are working with as well as how much time they have to devote to their planning. Understanding their budget and how much time they have will help determine what services may best suit their needs.

3) Do they willingly provide you references from clients?

4) How do you prefer to communicate? Does this match your preferred method?

5) Ask for examples of their work (not just pictures, but what type of information they include in their timeline, etc.)

6) Do you feel comfortable with this person? Are they responsive?
7) Do you have an emergency kit?
8) How well do you work with the venue and/or other vendors?

These are just a few of the many questions that you may have, but may help you with narrowing down your choices. You only have one chance for everything to go well for your special day, so experience does count!

WHERE TO SEAT YOUR FAMILY AND FRIENDS


Seating your family and friends at your reception is not always easy. If assigned seating is the agenda, then follow these tips to keep your guests happy and entertained.

A. Seat the loud and dancing crowd next to the DJ speakers, chances are they will be dancing, or talking comfortably louder than the music being played
B. Seat the older and mellow crowd furthest away from the DJ
C. Group co-workers at the same table so they can talk about relative issues
D. Those singles, place with people they know

Take in considerations and accommodations for your guests. Try your best in making them happy with their seating arrangements. Remember, many of your guests will want to sit next to those they know.

Bridal Showcase

Wow! I went to the Northern Virginia Bridal Showcase today, and it was packed! (If any of you were there, I was at the Sylvain's Florist booth helping my cousin; I wasn't actually at the Mary Kay booth. Go figure! :-)) Anyway, I was amazed at how many people (both vendors and brides) were there. I remember going to the Bridal Showcase when I was a bride-to-be, and I came home with MAJOR Bridal Overload!

Choosing Colors; A Basic Guide

I find that in going back to basic High School Art Class lessons is greatly helpful in choosing colors. Did you ever make up a color wheel? If so, you know that complimentary colors are opposite each other, analogous (or harmonious colors) are next to each other, and monochromatic colors are actually one color with various amounts of tint or shade.

To give you a better idea of how this concept is applied, for a winter wedding, here are some examples:

complimentary scheme: pomegranate red, chartreuse & gold gilt (add a little chocolate brown for depth)
analogous scheme: lavender (purple), pale blue (blue) & white w/ silver accents
monochromatic scheme: royal purple, violet, periwinkle

Your colors can also be an expression of you, the season or a favorite hobby. An autumn wedding just bekons for tints of orange. You may grow sunflowers, so choose various shades of yellow. Sports fans my quietly incorporate team colors. There are so many places to gain inspiration.

To correctly measure the ring finger is easy! Our rings are comfort fit on the inside of the ring. It's Wedding Show Week!

As a vendor, the days leading up to the wedding expos are always hectic. We're reviewing our lists of what we need to bring. We're making final decisions on just how to display everything in our booth. We're wondering what's going to attract your attention because we want you to stop and talk with us about our products and services.

We not only participate in wedding expos as vendors, but we also attend similar shows as customers. What we've learned is that when something catches our attention or when we meet a particularly engaging vendor we gather business cards from those businesses and make notes on the back about what or why we stopped at that booth. It may be months later before we look through those cards, but with our notes it's easy to remember exactly why we picked up a particular vendor's card.

We encourage you do do the same at the wedding show. If you see something you like, don't assume it's something you're going to easily find on the Internet after the show. Get that vendor's card so you won't be disappointed when you're unable to find the product or service they offered elsewhere.

Decisions Decisions

Yes, you two do agree that having a DVD slide show put together would add that perfect touch to your wedding day.
!? BUT HOW ?! Time to decide which way is best for you.

There are four different ways of getting this done.
1- Do it all yourself.
Sounds great... that is if you have the time and talent. Deciding which photos to use can be fun but will take a bit of time. Doing that AND putting them together onto a DVD, along with all the other things you need to do for your wedding, chances are you would LOVE for someone else to make one.

2 - Finding family or friend to put one together.
True, more people are learning how to put DVD slide shows together and hopefully you do know someone who can do what's needed. That's GREAT! But does that person have a normal job and family to take care of thus doesn't really have enough time to make one? Or, perhaps the program he/she uses is not very creative in what it can make.

3 - Find a Slide Show making business, vie Google, you don't get to meet.
Send to the company what you want seen and heard via snail mail or e-mail, let them put something sweet and simple together, and then get the final product mailed your way without you really having any say in it. I'm sure that is fine for many but maybe it's only because they can't find anyone else.

4 - Find a Slide Show making business in your area.
SUPER! You now can have, hopefully, some of one-on-one contact, and have more of a say in what you want done. Sounds just right! But then you see how simple the slide show still seems yet the price seems way up there!

Is there a way to find that help you want and need.
Yes  It's that 5th way to have your slide show made.
5 - Memories In Motion.

* I would do most of the work so that for your wedding you only need to focus on what only you can do.
* I may not be family or year-long friends but, if you are like my other customers, when all is done, you'll be wanting to invite me to your wedding :-)
* I want as much input as you want to give in making the slide show just right. All of my customers are so glad to be given the chance to see with their own eyes what I can do to their pictures, videos and music. Seeing a rough draft makes them more excited to see the final product.
* And as far as pricing goes, I am far lower than almost all the others, yet offer far more in what unique things can be added, and how I put everything together.

Step 1 - Gathering Photos & Songs

Thinking of what type of photos you wish to use is the first step.
Most likely you're thinking of gathering photos of you two as kids
and growing up. Some use lots of growing-up photos while others only use
a few. All, however, know to use those perfect pictures taken since they met. What you decide is totally up to you.

Gathering the photos is, of course, easier said than done, right?
That can be the hardest part for you two and that's why I suggest
you start the sooner the better. Here are a few ideas to help
you start.

1- Find what you can from your own photo albums or boxes, CDs, files on your computer, and even pictures still on your own digital camera. Old videos or current camcorder pieces are also great to add. You two alone may have plenty but, if you're like most, you would like to see what others may have.

2- Check from your parents, other relatives, and friends.
If you're like most, you don't really have many from when you were a little kid growing up. Just think who would, be it parents, siblings and the like to ask. Just mentioning you're looking for a few pictures opens the door to many willing hearts who want to help,
"Oh Tom...I have the PERFECT picture! Remember that morning when you were about eight and you cut your own hair. I'll scan it and e-mail it too you."

"Sure Beth, I still have all those pictures from high school. I'll mail you those that show only you. How about that picture I have of you two at last year's family Christmas party?"

Anyway you decide to get them is up to you. Just remember, it's worth the work.

Keep in mind that I can do extra work to photos to make them look their best. So incase your older brother says he has the best picture of you but it's with your old high school boyfriend, no need to worry. I can most likely make it look like that persons is not there and everyone will only see that beautiful young lady up on the screen.

O.K.. - Now you have the pictures. Time now to decide which song(s).
Most couples have THE song to use. For others, it might just be one of the many that makes you melt whenever you hear it on the radio. It's up to you. If you don't have the song yourself, no worry!
It's so great now-a-day how you can buy almost any song for about $1 vie websites. I can do all that work for you if you'd like, knowing you then will get to keep that song on a separate CD along with it on the Slide show. Not sure what song to use? I can pass your way a list to help you decide. Only want to put in part of a song? No problem doing that. We'll talk about what you want heard, knowing I'll fit it perfectly into your slide show.

What's New at Video DJ's of Hawaii

Aloha and thanks for stopping by. I hope that all is well and that your planning is coming along smoothly. I have been extremely busy over the past few months with the summer weddings and finally have a chance to catch my breath. With each reception, I learn something new... whether it's how to do something better or exposing myself to a new tradition, genre of music, or cultural event. I believe that it's important to learn new techniques and look at things with a different perspective; it keeps celebrations fresh and entertaining.

With that said, please imagine how you picture your dream reception. With that thought in mind, I want to share a few highlights of Mike and Jens experience (7-21-07).

At the beginning of their reception, they introduced their bridal party with "True" playing underneath the introductions of each member. Then, as the emcee was ready to introduce the bride and groom, the music changed over to "Sirius" better known as the Chicago Bulls theme song. With the energy level high; the bride and groom entered with the guests clapping and cheering. As they made their way to the dance floor, the music faded into their first dance as husband and wife. As they danced together for the first time as husband and wife, the guests were treated to a custom recording done by Mike and Jen. They shared their love for one another so that all in attendance could see and hear. During dinner, the guests enjoyed listening to Hawaiian music and contemporary love songs as Mike and Jen's engagement photos were shown on our large video screen. During the toasts and traditional events, the guests seated in the back of the room were able to view everything on the video screen. Continuing on with the Father / Daughter dance, the guests listened to a custom recording dedicated to Jens late father. There wasnt a dry eye in the ballroom as Jen and her brother honored their dad with "Dance with my father." As emotional as that moment was, the mood was quickly lightened up as they began their traditional Honeymoon Dance. Of course, with Mike and Jen, nothing was traditional with them. They opted to fool their guests with a fake dance. The song started out slowly and then was interrupted by a record scratch and radio static& this gave the groom enough time to come to the DJ booth and put on a wig and fake mustache. (throwback to his younger days) Mike then popped up right on cue as "Now that we found love" started to play. The guests were laughing hysterically as Mike and Jen performed a choreographed dance that lasted about a minute and a half. As everyone cheered, the music changed over as they began their real Honeymoon dance. After the guests showered Mike and Jen with dollar bills, the dance music began with all of their favorite music. It was a truly wonderful night and I was honored to be invited to help them celebrate their one special day.

One of the reasons that brides and grooms invite me to help them celebrate their special day is my attitude and attention to detail. Time and time again, I have been told that the reason they invited me was& my sincerity and sense of caring about them as a couple. Although this is nothing new with me or the way my company does things; I believe that it is appropriate to mention this from time to time.

Finally, I am including the Custom lighting effect as part of the Video DJ entertainment package. This is the same lighting effect that you may have seen on Platinum Weddings or whose wedding is it anyway? This light makes for an amazing backdrop to really set your wedding reception apart from all the others. Your names and wedding date are standard; other designs are available as well.

Step 2 - Putting Photos Together

What I request is you putting the pictures you want in order. Let's assume you will use photos of you both years ago before you met, growing up, and then life after you met. As far as how many photos to use, here are some facts to remember.

- Each photo will show for about 5-7 seconds unless you request differently. Some show longer, some shorter - It depends what I will be doing with them. That's about 9-12 photos per minute.

So, let's say you want photos to go with one song that's about 4 minutes. That means about 40 photos, give or take a few. If more are a MUST, I can show a few pictures at the same time, thus allowing more to be seen. Also, I can prinkle around with the song to make it go longer, or shorter, if needed. An adorable beginning and end will also be seen but don't worry. I can fix things up to make it all work out. Keep in mind that if quite a few photos are shown at the same time, then we can use a lot more photos. If you have some video pieces, just show me what parts you'd like and I'll work at fitting them in as well.

After you get together all you'd like seen, figured out how many, and what song(s), it's time to label them so I know the order you want them seen. There's many ways to do this so we'll talk and see what way works best for you.

Believe it or not, you're pretty much done with your side of it all. After we share a few more ideas back and forth, (usually one sitting is all that's needed) I'm ready to do the rest. We can call or e-mail back and forth with any questions or ideas, with the goal of you seeing a rough draft within, most likely, one week.

I hope this helps you understand how it works, and encourages you to have one made.
