Pre- planning Tips

When
Pretty important to decide when the wedding is going to happen and get your reservations placed. The busiest party months are May, June, September, October and December, so plan extra early for events during these months.

Invitees
The guest list will help you determine how large a venue you will require and will help you estimate your costs. A rule of thumb we regularly use is that about 80% of the invitees will attend (in reality, we see some pretty wide variances)

Where
Site selection is also critical and dependant on the number of guests expected. Whether youﾒre using your church fellowship hall, a banquet center, a hotel or a tent in the back yard, youﾒll need to decide early on in order to get the space reserved.

Type
Are you planning a sit down dinner, a buffet or a cocktail reception? Will it be formal or informal? Are you serving any alcohol, if so will you have mixed drinks as well as beer and wine? All of these questions will need to be answered early in the planning process as well.


Level of involvement
How much of the planning, set up, breakdown etc do you want to personally do? Your level of involvement can range from doing it all yourself to contracting everything out.

THE FIRST CONSIDERATION IS TENT SIZE AND THAT WILL BE DETERMINED BY GUEST COUNT, TYPE OF EVENT, THE AMENITIES TO BE ACCOMMODATED UNDER THE TENT AND A BUFFER ZONE OF 5-10ﾒ AROUND THE TENT TO ALLOW FOR INSTALLATION AND STAKING.

IF YOUR SITE IS LARGE ENOUGH, THEN YOU WILL NEED A REASONABLY LEVEL SURFACE WITH GOOD DRAINAGE. THE SITE SHOULD BE TRUCK ACCESSIBLE TO FACILITATE DELIVERY OF THE TENT AND ALL OF THE EQUIPMENT.

-CAN STAKES BE USED
-IS ELECTRIC POWER AVAILABLE
-WILL HEATING OR COOLING BE REQUIRED
-IS ADEQUATE PARKING AVAILABLE
-WILL A FLOOR BE REQUIRED TO PROVIDE A LEVEL SURFACE
-WILL THE CATERER REQUIRE AN ADDITIONAL TENTED AREA
-ASK YOUR TENT VENDOR (WHICH SHOULD ALWAYS BE GRAND
RENTAL STATION) TO PERFORM A SITE SURVEY TO EVALUATE
THE SUITABILITY OF THE SITE FOR YOUR EVENT

1. DO YOU USE A CAD (COMPUTER AIDED DESIGN) PROGRAM TO RECOMMEND THE PROPER SIZE TENT FOR MY WEDDING?

2. DO YOU CLEAN YOUR TENT TOPS REGULARLY TO MAKE SURE THAT I RECEIVE A "WEDDING WHITE" TENT?

3. CAN YOU SUPPLY MY OTHER RENTAL NEEDS, TABLES, CHAIRS, CHINA, ETC TO MINIMIZE THE AMOUNT OF COORDINATION REQUIRED OF ME?

4. IF YOU CAN SUPPLY MY OTHER NEEDS, WHAT PRECAUTIONS DO YOU TAKE TO ENSURE THAT I RECEIVE ONLY THE FINEST, CLEANEST RENTAL EQUIPMENT?

5. DO YOU HAVE THE EXPERIENCE NECESSARY TO MAKE SURE THAT THIS IS THE MOST MEMORABLE DAY OF MY LIFE?
